THE SOLUTION
After thinking about my project for a couple weeks, and how to implement my solution, it simply just came to me. It was simple. I was just going to talk to my team about what I thought the problems were and ask them what they thought.
The reality is this, if nobody on the team thought we had a problem, there would be no solution. Luckily, we were all on the same page! I took polls, and simply turned those polls into graphs, as well as the iceberg model.
After being able to visualize the problems, I took another few days to myself, then came back to the team with some solutions. We all agreed that main concerns were lack of communication, poor training, and all of us wearing many hats, and doing too much!
The solution to the lack of communication was so easy. We simply created a check in point. First thing in the morning, or mid-day. This was very easy to implement, as all it was was a simple group chat on Microsoft Teams. Once one person started doing that, and simply saying, ‘What’s everyone’s plan for the day’, everyone responded with their daily plan. As we started to do this, things just got a lot easier!
The solution to all of us doing too many things, wearing many hats… these ties into the lack of communication we were all experiencing. This was easy. We now have one person on our team assigning everyone their tasks for the day, the night before. Now, I can go on my calendar and see what I must do. Easy!
The solution to not being properly trained was also easy, but not so easy to implement. We are going to have our digital marketing person simply do a zoom call with us showing us how to properly enter the data into our new system. This hasn’t really happened yet, as all our schedules are very different, but I am feeling hopeful that it will, within a week or so!
Problem, Solution, ACTION! Now that we have identified the problem and the solution - we still need to take action. This was an easy sell. A simple conversation about how we can actually implement these changes, that's it! By doing it. Also, by showing them our numbers, the clients who have been slipping through the cracks, the profits that we are missing out on, the many complaints we have been getting. I also went to the owner, the man himself, and we just made it happen!
Two of the changes are already in effect, and things are going swimmingly! The final change that we need to implement is actually getting our digital manager to train us. This may be a bit more difficult, but with my constant nagging, I am pretty sure this should happen!
